When a hotel furniture supplier says production will take 60 days, it is tempting to put 60 days into the project schedule and move on.

We would not recommend doing that.

Hotel furniture lead time does not start when furniture enters the workshop.

Before production begins, there may already be drawings to review, materials to confirm, samples to produce and approvals to obtain. After production, there is still inspection, packing, shipping and site delivery.

For an international hotel project, all of these stages form the real furniture lead time.

From our experience, the safest way to plan is to work backwards from the required delivery or room handover date rather than starting with the factory production period.

Why the Production Time Is Not the Full Lead Time

A custom hotel furniture order normally passes through several stages before it reaches the site.

A typical process looks like this:

The exact duration varies from project to project.

The important point is that these stages are connected.

A delay at the beginning can push every stage that follows.

That is why we always look at the complete project timeline, not just the number of days required for manufacturing.

1. Design Confirmation Comes Before Production

The first question is simple:

Is the furniture design actually ready for production?

For a custom hotel project, the supplier may receive:

  • Furniture schedules

  • CAD drawings

  • 3D renderings

  • Material specifications

  • Finish schedules

  • Brand requirements

  • Reference images

These documents still need to be reviewed.

A design may look complete on a rendering but leave important manufacturing details unclear.

A supplier needs to translate the design into practical construction details.

This may include:

  • Internal construction

  • Hardware

  • Joint details

  • Edge profiles

  • Upholstery details

  • Finishes

  • Installation requirements

The shop drawing is where many production questions are answered.

7. Quality Control Needs Time Too

Furniture should not be considered ready simply because manufacturing is complete.

Do not treat sample approval as a formality.

  • Review drawings efficiently

Keep comments consolidated where possible rather than sending repeated small revisions over several weeks.

  • Separate critical-path items from non-critical items

Some furniture may have longer material lead times than others.

  • Plan shipping from the required site date

Do not wait until production is complete before thinking about transportation.

  • Keep a decision owner

Someone should be responsible for approving drawings, materials and samples.

This avoids a simple question sitting unanswered while the production schedule moves closer.

We do not like quoting a single number for hotel furniture lead time without knowing the project.

A simple guestroom furniture order and a fully customised international FF&E package are not the same.

Neither are:

  • A new-build hotel

  • A phased renovation

  • A resort project

  • A project with highly customised finishes

The production requirement can therefore be very different.

What we recommend is to build the schedule from the required on-site date backwards.
